A variation quote is suitable when the scope and price can be calculated in advance. Time-and-materials work is billed based on actual effort and is useful when this cannot yet be reliably determined or when work must begin on short notice. If urgent additional work is carried out on a time-and-materials basis, the reason should still be clearly documented.

For urgent work, record who authorised the change, how effort will be documented and when commercial approval will follow.

Once accepted, the variation quote becomes part of the project documentation. Its items should remain traceable in planning, execution, and final measurement separately from the main scope.
